  • Position Description

    The Fuel Tax Coordinator is responsible for managing all Interstate Fuel Tax Adjustments (IFTA) and associated collection activities for accounts assigned by region. Ryder’s Annual Fuel Tax payments account for $120MM. They will maintain communications with customers within that portfolio and is responsible for maximizing fuel to lower Ryder's Tax Liability and improve collection of funds associated to outstanding IFT expenses. He/She will prepare Tax Adjustments to be posted to Ryder's Consolidated IFTA return with 100% accuracy. Adjustments require manual review of provided fuel documentation along with reported mileage data to make a logical determination of credits due based on where the customer traveled, where/when the customer fueled. The Fuel Tax Coordinator will work closely with Ryder Field Partners, Customers and other departments specifically Collections to identify and appropriately address customer concerns, billing disputes, provide education, attend Conference Calls and meetings as needed.

    Requirements

    • High School diploma or equivalent
    • Associate's degree in Business Administration preferred
    • Three (3) years or more experience in Fuel Tax Compliance preferred
    • Ability to present information and ideas clearly and understandably to others

    • Demonstrated knowledge of Fuel Tax (intermediate level)

    Responsibilities

    • Collaborate with Collections to resolve IFT Short Pays, Disputes and ACH Rejections. Provide feedback to Collectors, the Customer and BU partners facilitating collection of documents and/or payment. Work through manual tax adjustment/credit whenever possible, coordinate with customer on credits and outstanding balances providing education for payment. Disputes received directly from Collections
    • Actively work all Fuel Tax adjustments (New Invoices often High Dollar). Obtain documentation from customer to manually adjust invoices and process credit. Review credit details with customer and address outstanding balances providing education for payment. Disputes received directly from Customer and/or BU
    • Provide education and support to BU (Lease & Rental Teams), Collections, Customer Care, Customers on Fuel Tax reporting requirements and process. This includes but is not limited to attending meetings, conference calls, participating in and holding training sessions, as well as creating customer specific dashboard information to facilitate discussion
    • Responsible for providing State Highway Use Tax(SHUT) Backup upon request as well as distributing "self-help" instruction for accessing via online tools and setup of automatic receipt
    • Maintain currency for special handling accounts including in depth monthly SHUT audit, root cause analysis, closed loop for internal errors, calculate tax adjustment and apply credits as needed
    • Participate in projects, committees and/or focus groups related to process improvements and enhancements in Fuel Tax
    • Research and bill State Highway Use Taxes - Including inter district billing, NY & OR Mile Tax; Also Lease Missing Mile Invoicing
    • Review & research Salesforce Calls on a daily basis to ensure resolution within 48 hours
    • Performs other duties as assigned
